Your Cleaning Scotland Privacy Policy

Information we collect

Depending on your interaction with us, we may collect your name, email address, telephone number, cleaning address, billing details, service requirements, appointment preferences, messages and payment or transaction records. We may also hold access instructions and relevant photographs where needed to quote, document agreed work or investigate a complaint.

Our website may collect technical information such as your IP address, browser, device and website activity through Wix and any tools identified in our cookie information.

We usually receive information directly from you through forms, email, telephone or messages. Where a landlord, letting agent or property manager arranges cleaning, they may provide the contact and property information needed for that booking. We will identify the source to you when required.

Please avoid sending sensitive personal information or information about children through our enquiry form. We do not need details about pupils to clean educational premises.

Why we use information

We use personal information for the following purposes and lawful bases:

  • Quotes and bookings: taking steps at your request before entering a contract, and performing our contract with you.

  • Invoices and required records: performing our contract and meeting legal obligations, including tax and accounting requirements.

  • Business contacts, general enquiries, complaints and security: our legitimate interests in communicating with contacts, running our business, resolving concerns and protecting people and property, balanced against your rights.

  • Optional email or text marketing: your consent, if we offer it and you choose to subscribe.

  • Website analytics and advertising tools: consent where required for the tools used. Any different basis or exemption will be explained in our cookie information.

We need sufficient contact, property and service information to arrange and carry out a booking. If you do not provide it, we may be unable to supply the service. Providing optional marketing information is not a condition of booking.

Who receives information

We share only relevant information with people and providers who need it for their role. These may include cleaning staff or authorised contractors, Wix as our website and form provider, our email provider, banks or payment processors, accountants, insurers and professional advisers. We may disclose information to public authorities where required by law.

We do not sell your personal information. Where a provider processes information on our behalf, we use appropriate data protection arrangements.

International processing

Our website and other technology providers may process information outside the UK. Where a restricted international transfer occurs, we use applicable safeguards, such as UK adequacy regulations or approved contractual safeguards, as appropriate to the provider and transfer.

Contact us if you would like information about the safeguards used, or a copy where available. Wix publishes information about its processing arrangements at https://www.wix.com/about/privacy.

Keeping information

We keep information only for as long as needed for its purpose:

  • Unsuccessful enquiries: [insert period] after the last contact.

  • Customer and booking records: [insert period] after the service or relationship ends, taking account of complaints and legal claims.

  • Invoices and accounting records: for the period required by the tax and accounting rules applicable to our business.

  • Access codes and instructions: only while needed for agreed access, then deleted when no longer required.

  • Marketing records: until you withdraw consent or we stop using them for that purpose. We may retain a minimal suppression record to respect your opt-out.

  • Website and cookie information: for the periods listed in our cookie information and relevant provider settings.

We may retain relevant records longer when needed to meet a legal obligation or deal with an ongoing dispute. We delete or anonymise information when it is no longer needed.

Security and property photographs

We use appropriate safeguards to protect personal information and restrict access to those who need it. No internet transmission or storage system can be guaranteed completely secure.

If photographs are needed to assess or document cleaning, we aim to avoid capturing people, personal documents and unnecessary identifying details. We will obtain separate permission before using identifiable property photographs for marketing.

Cookies

Our website uses cookies and similar technologies. Essential technologies support functions such as security and site operation. Optional technologies may support analytics, advertising or embedded content, depending on the tools enabled.

Where consent is required, optional technologies will remain disabled until you choose to enable them. You can reject them or change your preferences through [insert cookie settings link or button]. Rejecting optional cookies does not prevent you from requesting a quote.

Your rights

Depending on the circumstances, you can ask to access your information, correct inaccuracies, delete information, restrict its use or receive certain information in a portable format. These rights are subject to applicable legal conditions.

Your right to object: you can object to processing based on legitimate interests for reasons relating to your situation. You have an absolute right to object to the use of your information for direct marketing.

You can withdraw consent whenever we rely on it. Contact us using the details above to exercise your rights. We may need to verify your identity. We normally respond within one month, subject to extensions or other rules permitted by law.

Policy updates

We may update this policy when our services, systems or legal obligations change. The latest version will appear on our website with its update date. We will bring significant changes to your attention where appropriate.
